What Should I Do before I Lose Access to Penn State Resources?

STEPS TO TAKE BEFORE YOU LOSE ACCESS

Before your PSU email is closed

Once your PSU email has been closed, you will no longer be able to (a) send emails from your @psu.edu email address, (b) receive emails sent to your @psu.edu email address, or (c) access emails you sent or received in the past.

If you need a copy of any emails you sent or received, you’ll want to take steps to save them somewhere else before your email is closed.

If you gave your Penn State email address as the contact or account recovery email for personal or business accounts such as Facebook, Gmail, bank accounts, etc:

  • It’s important that you update the email address associated with those accounts to something other than your PSU email address as soon as possible.
  • If you do not, you may find that you are unable to update, reset the password, or perform any action for which that account requires you to confirm your identity by responding to an email they sent to your Penn State email address.
  • Should you find yourself in that situation, you will need to work directly with the company involved to have your email address updated in their system.  Penn State’s licensing agreement with Microsoft prevents us from reopening your PSU email unless your affiliation with the University changes and again qualifies you for access.

Before you lose access to Office 365 Applications

Once you lose access to Office 365 apps, you will lose access to any files and information saved in applications like Teams, OneNote, OneDrive, and SharePoint.

To avoid losing work saved within any of these programs, you must transfer any and all files you wish to save to personal accounts or devices before your access expires.  To learn how:

If you need similar software for personal use:

  • Visit software.psu.edu while you are still an active student, faculty or staff to take advantage of free or reduced cost software, including basic Microsoft Office applications.
  • Purchase a personal Office 365 subscription from Microsoft.
  • Use free software such as Google (Google Docs/Sheets/Slides) or OpenOffice to access/work with Office documents.
  • IMPORTANT:  Please do not use your @psu.edu address if purchasing a personal Office 365 subscription and/or using Google Docs.  Future changes to Microsoft licensing requirements could result in authentication issues.

Before you lose access to G Suite

To avoid losing work saved within any of these programs, you must transfer any and all files you wish to save to personal accounts or devices before your access expires.  To learn how, search the web for Google documentation for the app in question.

Other things to consider before you leave the University

Are you the owner of a User Managed Group (UMG)?

If so, be sure to transfer ownership of the group to the appropriate person before you leave.
To learn how, see knowledge article Transfer Your Ownership of a User Managed Group.

Are you the supervisor of any sponsored accounts?

If so, be sure responsibility for those accounts is transferred to someone else before you leave.
To learn how, see How Do I Change the Supervisor / Transfer Ownership of a Sponsored Account?

WHAT IF I’VE ALREADY LOST ACCESS?

If you’ve already lost access to your PSU email, Office 365 apps, or G Suite, there’s a limited window of time within which you may be able to retrieve emails or files associated with those applications.
